In this article, we will give you some essential tips when communicating with superiors.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Honorifics:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Honorific is a form of communication that shows respect and courtesy to others. In Japanese, honorifics are usually divided into three main categories: Respectful language, Humble language, and Polite language. Depending on each situation, purpose, context, etc. to choose appropriate honorifics.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Respectful language (\u5c0a\u656c\u8a9e):<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Used to show respect to someone of higher position \u2013 a superior or a customer \u2013 when speaking about them.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">To conjugate words into the honorific form, there are 3 main ways:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">The first way is to change the word into the passive voice.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">The second way is simply to say \u304a or \u3054, the \u307e\u3059 stem of a verb and then \u306b\u306a\u308b.However, this conjugation does not apply to verbs in group 3 (\u6765\u308b, \u3059\u308b) and verbs with a syllable in front of the \u307e\u3059 ending such as \u307f\u307e\u3059, \u306d\u307e\u3059, etc.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">The last way, for irregular verbs, you can refer to the table below:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Humble language (\u8b19\u8b72\u8a9e):<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Used to show humility when you speak about yourself when talking to people of higher status, new acquaintances or when talking on the phone.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">To conjugate words into the humble form, follow this formula: \u304a or \u3054 + the \u307e\u3059 stem of verb + \u3059\u308b.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">For example:\u00a0<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">&#8220;\u304a&#8221; + Conjugated verbs (e.g. \u52c9\u5f37\u3059\u308b, \u96fb\u8a71\u3059\u308b, etc.) + &#8220;\u3057\u307e\u3059&#8221;.\u00a0<\/span><br \/>\n<span style=\"font-size: 14pt;\">&#8220;\u3054&#8221; + Gerund + &#8220;\u3057\u307e\u3059&#8221; (replace \u201c\u3057\u307e\u3059\u201d with \u201c\u3044\u305f\u3057\u307e\u3059\u201d to show even more humility).<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Polite language (\u4e01\u5be7\u8a9e):<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Using \u201c\u307e\u3059\u201d, \u201c\u3067\u3059\u201d at the end of a sentence. This is the most commonly used in everyday communication.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Japanese working methods:<\/span><br \/>\n<span style=\"font-size: 14pt;\">Horenso method:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">In Japanese, Horenso stands for the first 3 syllables of the following phrases: &#8220;H\u014dkoku&#8221; (\u5831\u544a, to report), &#8220;Renraku&#8221; (\u9023\u7d61, to inform) and &#8220;S\u014ddan&#8221; (\u76f8\u8ac7, to consult).<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Thus, at work, employees must periodically report (Hokoku) to superiors on the progress of the work, arising problems or completed tasks. Aslo, regularly inform (Renraku), discuss with colleagues and subordinates, and fully update information for relevant departments to avoid omissions when problems arise. Finally, you must consult (S\u014ddan) your superiors before deciding to do something. Horenso means being proactive at work.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Any Japanese organization adheres to the Horenso method. They point out that Horenso itself is the most systematic and effective method of reducing risk.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">PDCA model:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">The PDCA cycle includes the following elements: \u201cP\u201d (Plan) is establishing objectives and processes required to deliver the desired results, \u201cD\u201d (Do) is carrying out the objectives from the previous step, \u201cC\u201d (Check) is checking the data and results gathered from the do phase, and \u201cA\u201d (Act) is improving processes and re-executing the new PDCA cycle.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">The concept of PDCA is as follows: PDCA is a cycle of monitoring, adjusting work flow or goals over and over again through this model, thereby leading to continuous improvements throughout the process.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">How it works in each stage of this cycle is as follows:\u00a0<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u201cP\u201d \u2013 Plan:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Set goals and objectives that you want to improve or develop.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Describe tasks with clear and specific information.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Form a team to fulfill the goals and set deadlines for completion.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Record necessary datas during the implementation.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Make a detailed plan and then analyze each task, executor, expected results, operation or instructions, etc. to serve as the foundation for the next phase.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u201cD\u201d \u2013 Do:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Stick to the plan built in phase \u201cP\u201d.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Update the work progress regularly.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Follow the schedule, record the issues that arise during the process.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u201cC\u201d \u2013 Check:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Check whether the achieved results are as planned or not after phase \u201cD\u201d.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Record all issues such as changes, errors, difficulties, challenges, etc. that affect the process.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Identify the root causes of the problem.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u201cA\u201d \u2013 Action:<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Carry out \u201cbug fixes\u201d.<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Identify and build up preventions for problems.\u00a0<\/span><\/p>\n<p><span style=\"font-size: 14pt;\">\u2013 Repeat steps P-D-C-A with new plans until the main goal is finally achieved.<\/span><\/p>\n<p>&nbsp;<\/p>\n<p><span style=\"font-size: 14pt;\">Overall, the PDCA cycle is a model that helps to improve process performance consistently as well as in an organized manner through the Plan \u2013 Do \u2013 Check \u2013 Act phases.
